Mobile: How to use Roster

If you have Roster in your account, you will see a third tab for Roster. The Roster tab allows you to keep a record of each of your patients. Refer to the following list for Roster features:


How to add a contact

With Roster, you can add a contact without having an appointment scheduled. This is useful if you need to create a contact file but are not yet ready to book an appointment.  

Follow these steps:

  1. Go to the Roster tab
  2. Beside the search bar, select the (insert icon here) to open the Add Contact window.
  3. The Add Contact window will appear. Enter name, email and phone number (optional). 
  4. Tap Save

Your contact will now appear on your Roster list. 

How to view contact information

You may be looking to review your client’s information before their appointment, and the Roster is a great way to get an overview of that. In order to view your contact information, read the following:

  1. Select your client’s name. This will lead you to their Roster profile.
    • If you need to add a contact, refer to above. 
  2. You will see 3 tabs, ‘Profile’, ‘Appointments’ and ‘Forms/Files’. 
  3. Under Profile you will see:
    • Name
    • Email
    • Phone
    • Notes

Notes are editable and can be used to enter additional information. This is useful if you need to keep any reference notes for yourself or for your administrators. Please ensure you tap on ‘Save’ if you make any changes.

How to view & edit appointments

  1. Select ‘Appointments’ or swipe left. 
  2. You will see a list of your upcoming and past appointments
  3. You can edit an appointment by selecting the pencil icon,mceclip1.png
  4. After editing appointment information, tap on Update. 

Your appointment will reflect the update. If you do not see this immediately, reload this page. 

How to cancel appointments

  1. Select ‘Appointments’ or swipe left. 
  2. You will see a list of your upcoming and past appointments
  3. You can delete an appointment by selecting the trash icon. 
  4. You will be prompted with a confirmation message. Confirm by selecting "OK".

Your appointment will be marked as "Provider Cancelled". If you do not see this immediately, reload this page. 

How to view forms and files

  1. Select ‘Forms/Files’ or swipe left
  2. You will see a list of all of your forms and files that were uploaded and associated with this client. 
  3. Selecting the file name will download the file to your mobile device
  4. Selecting the form name will open up a mobile link that opens up a form preview 

How to create a new appointment 

When viewing a Roster contact, create a new appointment easily with their information already entered.

  1. Select the client you are looking to create an appointment for. 
  2. Tap on ‘New Appointment’ on the top right hand corner.  This will open a ‘Create appointment window’. The window will be automatically filled with participant information. 
  3. Enter appointment details.
  4. Tap on ‘Create’. 

The appointment will now appear under Appointments.
