It's easy to integrate your OnCall Health calendar with your Google Calendar, Office 365, or Microsoft Outlook calendars by following the steps below.
With OnCall Health's calendar sync, you can create appointments in OnCall & have them sync to an external calendar, generate a link in your external calendar event that will take you to your OnCall account to join the session, and edit some details of your OnCall Health appointments from your external calendar (appointment time, date, duration and cancellation of the appointment).
This calendar integration will NOT be able to do the following:
- Set your OnCall booking availability from your external calendar
- Sync 1 external calendar with multiple OnCall accounts (for example, if you have 2 accounts on the OnCall platform, one as a provider and one as a coordinator)
- Block you from creating an appointment in OnCall when there is a conflicting event in your external calendar. Hence, you will still be able to create your appointment even when there might be an existing event in the same time slot
- Create an OnCall appointment from the external calendar
If you do not have this feature enabled for your account, please contact your Customer Success Manager directly for more information.
Sync with Your External Calendar
Log into your account and click on your name on the top right hand corner. Select Account settings.
Click on the Calendars tab and click Connect.
You'll be prompted to allow OnCall Health to access your external calendar (note: you will be prompted to connect to the calendar that is tied to the email address that you use to login to your account). Click Allow.
Authorize your calendar account. The screenshots above show integrating with a Google Calendar, but depending on what type of calendar you are using, you will be prompted to sync to the according calendar. If you have multiple external calendars, select your desired calendar. You can only sync with one calendar at a time at the moment.
NOTE:
- The first time you sync your calendar, it may take up to 1 hour to take effect.
- If your calendar doesn't sync the first try, please try again.
- Appointments that were created in the past will not be synced to the external calendar. Only appointments created from this point on will be added to your external calendar.
Create New Appointments to Sync
Appointments from OnCall will show up as 'OnCall Health Appointment' in your external calendar. If you're an Enterprise client, the name of your external calendar events is configurable. Connect with your customer success manager to learn more.
Within the calendar invite, there will be a link that you can click to join at the time of your appointment. Clicking that link will prompt you to login to your account to join your appointment.
Editing Your Appointment From Your External Calendar
From your external calendar, click on the calendar event.
Click on the Edit (Pencil) icon to edit the time, date and duration of your appointment.
Change the date and time of the appointment to your desired time and click on "Save".
If you're logged into OnCall Health, refresh the page in order for the change to take place in your OnCall calendar. It might take about 5 minutes. You will be getting a notification email regarding this appointment update.
Cancelling an Appointment From Your External Calendar
On your external calendar, click on the calendar event.
Click on the “Trash” icon on your external calendar event block.
If you're logged into your account, refresh the page in order for the change to take place in your OnCall Health calendar. It might take about 5 minutes. You will get a notification email regarding this appointment cancellation.
Disconnect Your External Calendar
Log into your account and click on your name on the top right hand corner. Select Account Settings.
Click on the Calendars tab and select the “Disconnect” button.
Please note that you will be able to change other elements of the event on your calendar such as adding participant, add location or description. These changes WILL NOT be applied to the appointment on your OnCall platform. The changes that WILL be applied on the OnCall platform is time, date and duration of calendar event.
Reconnecting Your Calendar
If you notice that your calendar integration has been disconnected, reconnect your external calendar by following the steps below. Start by navigating to your Account Settings by clicking on your username. Select Account Settings.
Navigate to the "Calendar" tab and when you see the error message in red, click on "Reconnect".
Login and authorize your Calendar account. Please make sure to allow the permission to access your calendar.
