How to sync your OnCall Health Calendar to an external calendar

To support providers in their use of the OnCall Health platform, we have introduced a direct calendar integration for Google Calendar, Office 365 and Microsoft Outlook providing the following features:

  • Create appointments in OnCall & have them sync to an external calendar 
  • Generate a link in your external calendar event that will take you to your OnCall account to join the session
  • Allow you to edit some details of your OnCall appointments from your external calendar (appointment time, date, duration and cancellation of the appointment)

This calendar integration will NOT be able to do the following:

  • Set your OnCall booking availability from your external calendar
  • Sync 1 external calendar with multiple OnCall accounts (for example, if you have 2 accounts on the OnCall platform, one as a provider and one as a coordinator)
  • Block you from creating an appointment in OnCall when there is a conflicting event in your external calendar. Hence, you will still be able to create your appointment even when there might be an existing event in the same time slot
  • Create an OnCall appointment from the external calendar

If you do not have this feature enabled for your account, please contact your Customer Success Manager directly for more information. 

 

Note: This feature will include continuous future updates to improve and expand the functionality listed above.

 

SYNC WITH YOUR EXTERNAL YOUR CALENDAR

1. Log into your account and click on your name on the top right hand corner.

2. Click on “Account Settings”.

3. Click on the Calendar tab.

4. Click on the “Connect” button.

5. Log in and authorize your calendar account. The pics show Gmail, however, depending on what type of calendar you are using, you will be prompted to sync to the according calendar.

  • Please make sure to allow the permission to access your calendar.

6. If you have multiple external calendars, select your desired calendar. You can only sync with one calendar at a time at the moment.

NOTE: 

  • For the first time you sync your calendar, it may take up to 1 hour.
  • If your calendar doesn't sync the first try, please try again.
  • Appointments that were created in the past will not be synced to the external calendar. Only appointments created from this point on will be added to your external calendar. 

7. Create your new appointment after syncing your calendars.

Appointments from OnCall will show up as 'OnCall Health Appointment' in your external calendar.

8. There will be a link that you can click to join at the time of your appointment.

EDIT YOUR APPOINTMENT FROM YOUR EXTERNAL CALENDAR

1. On your external calendar, click on the calendar event.

2. Click on the Edit (Pencil) icon to edit the time, date and duration of your appointment.

3. Change the date and time of the appointment to your desired time and click on "Save".

4. Refresh your OnCall page in order for the change to take place in your OnCall calendar. It might take about 5 minutes. You will be getting a notification email regarding this appointment update.

CANCEL YOUR APPOINTMENT FROM YOUR EXTERNAL CALENDAR

1. On your external calendar, click on the calendar event.

2. Click on the “Trash” icon on your external calendar event block.

3. Refresh your OnCall page in order for the change to take place in your OnCall calendar. It might take about 5 minutes. You will get a notification email regarding this appointment cancellation. 

 

UNSYNC WITH YOUR EXTERNAL CALENDAR

1. Log into your account and click on your name on the top right hand corner.

2. Click on “Account Settings”.

4. Click on the “Disconnect” button.

NOTE:

Please note that you will be able to change other elements of the event on your calendar such as adding participant, add location or description. These changes WILL NOT be applied to the appointment on your OnCall platform. The changes that WILL be applied on the OnCall platform is time, date and duration of calendar event.
